Position Summary

This position reports to the Sr. Director, Human Resources and supports the payroll and accounting teams in executing multi-state payroll tax operations. This role requires working knowledge of payroll systems, preferably SuccessFactors, and focuses on ensuring accuracy and compliance in all tax-related activities. The Tax Analyst will process payroll taxes, maintain documentation, and support regulatory compliance efforts while also serving as backup for payroll processing functions. Success in this role requires attention to detail, analytical thinking, and a willingness to learn the intricacies of payroll tax systems and regulations.

The ideal candidate demonstrates strong organizational skills, a detail-oriented approach, ability to meet deadlines, and interest in developing expertise in payroll tax compliance.

Job Responsibility

  • Ensure accurate and timely processing and filing of all payroll tax filings across various jurisdictions (federal, multi-state, multi-jurisdiction)
  • Reconcile quarterly and annual tax filings, including W-2 and W-2c preparation and distribution
  • Handle tax inquiries, notices, and audits from internal and external agencies, providing timely and accurate responses
  • Maintain employee tax data (e.g., W4s, state setups) and ensure compliance with relevant regulations
  • Review and analyze payroll data to ensure accurate calculation of wages, taxes, and deductions
  • Perform regular audits and reconciliations of payroll tax accounts and identify/resolve discrepancies
  • Support the development and implementation of payroll tax strategies and compliance with labor laws
  • Assist with bi-weekly or other payroll processing cycles as needed (cross training for backup coverage)

  • Process various payroll adjustments, corrections, and reversals
  • Coordinate with accounting, HR, and other departments to ensure smooth payroll operations
  • Research and resolve complex payroll tax issues
  • Develop and maintain process documentation and standard operating procedures
  • Participate in testing and implementing payroll system updates and enhancements
  • Provide input and recommendations for payroll tax related system improvements

Education Required

Bachelor’s degree in Business, Accounting, Finance, or 4+ years’ equivalent experience.

Experience Required

Experience with payroll systems, preferably SAP SuccessFactors, with BSI and ADP Tax services knowledge considered a plus. Knowledge of multi-state payroll tax requirements and compliance is essential. Proficiency in US payroll tax compliance, garnishments, general ledger, and benefit deductions. Ability to analyze data, identify discrepancies, and recommend improvements. Experience with federal, state, and local tax filings and responding to notices. Strong analytical, problem-solving, and time management skills with ability to work in fast-paced environments and meet critical deadlines. Advanced Excel skills including PivotTables and VLOOKUPs. Detail-oriented approach to ensuring accuracy in payroll data and tax filings. Good verbal and written communication skills for effective interaction with employees, agencies, and internal teams.
